Maintaining and auditing hundreds or even thousands of new guest accounts each day requires powerful software designed specifically for the hospitality industry. The LMS Accounts Receivable module is a flexible, menu-driven package that increases operational efficiency and revenue collection. It can handle conference/tour groups, credit card billings, departed guests and ledger accounts. The LMS Accounts Receivable module can be used in conjunction with the LMS property management system or with other systems that require an accounts receivable module.

LMS Accounts Receivable module features include:
  • Corporate Flexibility
    Allows divisions to be defined and processed individually using the master file menu. Divisions can continue to operate independently while utilizing the same files and programs.

  • Balance Forward/Open Item
    Accommodates both through flexible account classification. Maintains subtotals in the ledger, variable purge criteria, finance charge percentages and billing cycles for each account.

  • Online Maintenance and Trace
    Allows all system files, both managerial and operational, to be accessed at any time by multiple users. The managerial files consist of adjustable period definitions (with an optional 13th period), general ledger account classification and debit/credit-type posting. Online maintenance flexibility extends to operational files which allows for variable account classifications, finance charge percentages and billing cycles for each account. Because tracing and monthly statements are handled online, staff can print real-time account information as needed and reduce file handling by eliminating manual systems.

  • Unaudited Reports
    Aids fiscal planning and projections by allowing users to run unaudited end-of-day or period reports at any time. Also permits balancing prior to closing the day or the month.

  • End-of-Day Procedure
    Automatically produces audit reports, advances system to the next day and selects accounts due to be aged according to billing cycle in order to post applicable finance charges, age accounts and print statements.

  • Period-End Procedure
    Advances system to the next period-end date and prints management reports that include a summary of all transactions by general ledger number, a period-end journal voucher for processing by the general ledger, a detailed trial balance of each account and various summary aging reports.
The LMS ARTS module, in conjunction with the LMS property management system, helps your property achieve maximum return on investment by capturing guests at the first opportunity – when they are making a reservation. It then interfaces with hotel guest history data to allow reservations agents to pre-plan an entire stay – dinner reservations, lift tickets, show tickets, tee times, tennis lessons, spa appointments and even off-site activities – with a single phone call. Individual or family itineraries can be mailed as reservation confirmations.

With the LMS ARTS module, you can also manage your property’s diverse venues – limousine service, concert seating and restaurant reservations. The flexible program can modify reservations based on a number of factors such as venue, seat, date and time. The software also places canceled activities back into inventory for resale, resulting in optimum property utilization and profitability.

The LMS CASH module works with the LMS property management system to provide instant online credit card approval combined with express check-in. With the swipe of a credit card, the LMS CASH module obtains an estimated folio credit approval and then locates the guest’s reservation, assigns the room and prints the registration card. If a guest’s folio exceeds the original credit authorization, the LMS CASH module automatically seeks additional credit approval, thus reducing potential losses to the property. Staff also can access credit card numbers through the system’s database and tell guests exactly how much they charged on a specific date.

The LMS Central Reservations module, in conjunction with the LMS property management system, can be used across multiple databases without any limit on the number of rooms or number of properties that can run through the software. If you are using a third-party software solution, data from selected files is passed to that software and then exploded into a common database on a real-time basis. This ensures that when data is changed at the property level, it is also changed within seconds at the central reservations level, keeping all files in sync.

The LMS Condo Accounting module is an integrated application within the LMS suite of products. The LMS Condo Accounting application was designed to quickly and easily calculate the revenues, expenses and profit sharing between condo owners and the management company.

Users will have the same functionality as that of the LMS Accounts Receivable module, such as direct billing owners for charges they accumulate during their stay, and easily charging users other expenses related to owning the condo unit. The user can access a number of reports to easily keep track of charges and credits to the condo owners.

The basis for the owner rental program revenue distribution is the automatic calculation of the appropriate deductions and commission percentage(s) for the management company and making the appropriate entries in the Condo Accounting system. The transfer of rental revenue and the automatic calculation of the distribution occur during the night audit.

Also, a comprehensive rotation program is available that allows weighting based on guest and accommodation type, and to accumulate rotation values based on revenue and/or nights associated to reservations in the units for equal assignment of units and more evenly distributed revenue amongst owners. Owner statements, check processing and 1099 form generation are also available within the application.

The LMS Condo Accounting module can greatly reduce the time necessary for an accounting staff to calculate, distribute and report the revenues and expenses of condo units.
The LMS Itinerary Manager module is a Web-based software program designed to provide one-stop shopping for hotel guests. Using the Internet, guests can plan an entire stay at a hotel including room reservations, restaurant reservations, tee times, tennis lessons, theater tickets and even off-site activities. The software allows hotels to customize user fields, store credit card information and e-mail guest itineraries. Travel agents can access the LMS Itinerary Manager module to make reservations for their clients.

The LMS Itinerary Manager module also allows your property to collect valuable marketing information, which is stored in a master database. Using this information, you can classify guests according to such criteria as number of visits per year, dollars spent per year and types of activities requested. You can then create specially-designed packages based on customer preferences.

The LMS ResNet module is a Web-based real-time reservation system that allows Internet users to book reservations directly into the LMS property management system. Using the system, a customer can check room availability, make a reservation using any rate in the system, pay for a room with a credit card and receive an e-mail confirmation. The LMS ResNet module presents an uncomplicated appearance to the Internet user, masking complex transactions and streamlining the entire reservation process.

Unlike many online reservation systems that require guests to e-mail a request for a room and hotel staff to complete the actual reservation process, the LMS ResNet module requires no staffing. Instead, all booking is completed through the hotel’s own computer. Upon check-in, front desk personnel will see a message that the guest booked over the Internet.

With the LMS ResNet module, you can also boost your guest relations program by capturing the names and e-mail addresses of guests who book online and offering them special promotions and incentive programs.

The LMS ShowGate module, in conjunction with the LMS property management system, offers an exciting new way to provide integrated theater, stadium and attraction ticketing services with total venue management capability. The system offers a wide variety of features and functionality such as choice of ticket assignment, configurable controls and options, file maintenance and listings, inventory control, online select panels, user-defined ticket forms and numerous method-of-payment types.

The LMS ShowGate module gives your property the option of blocking and releasing seats, selling best available seats or allowing customers to choose individual seats from a chart. The software also allows you to comp tickets or charge them to a guest’s room or credit card.

The LMS Guest eMarketing (GeM) solution is designed to provide advanced functionality for HTML-based guest correspondence, advertising and marketing campaigns, and customer surveys-all with built-in statistical tracking stored for user analysis. Hotel staff members access the GeM solution via the eMarketing server control, and set parameters for confirmation emails or marketing campaign blasts based on a schedule preset. The eMarketing internal server control continuously reviews reservations in LMS that meet user-defined parameters and sends emails accordingly to property clients. An eMarketing external server records hits or views generated by guests opening emails or clicking embedded links. The external server also stores reporting statistics for emails sent out from the property. At all times, eMarketing functions are controlled separately by the eMarketing servers and do not affect the property's internal email server.
